How AI is used in Protopia Garden AI Practice work.
Last updated: 8 July 2026
This notice explains our working posture around AI-assisted services. It is not a certification, legal opinion or guarantee of compliance with the EU AI Act, GDPR or any sector-specific regulation.
1. Our principle
AI is treated as an operating support layer, not as an autonomous professional decision-maker. Human review, source control and accountability remain central to the work.
2. Where AI may be used
- Structuring workflow information, notes and interview inputs.
- Drafting internal templates, checklists, prompts, summaries and review aids.
- Supporting claim extraction, source mapping and evidence register preparation.
- Creating first-pass implementation materials for human review.
3. Where AI is not used as final authority
- Final legal, regulatory, eligibility, audit or compliance determinations.
- Unsupervised submission of grant proposals, tenders, reports or client documents.
- Automated decisions about individuals, beneficiaries, staff or applicants.
- Processing sensitive personal data through public forms or general-purpose AI tools without an agreed secure process.
4. Client data boundaries
Public website forms should not be used for confidential files, personal datasets, beneficiary records, legal documents or restricted client information. If a project requires document review, we agree an appropriate intake route and review boundary first.
5. Disclosure and evidence
Where relevant, our deliverables may include AI-use notes, source registers, claim checks and review trails. These are designed to help teams explain how AI supported the work and what was reviewed by humans.
6. EU AI Act readiness
We may help teams prepare practical AI governance layers: purpose definition, data boundaries, role ownership, human oversight, transparency notes and review checkpoints. This is operational readiness support, not legal certification.
7. Human review
All external-facing professional materials should be reviewed by the responsible human team before use. The client remains responsible for final decisions, submissions and representations made to funders, clients, evaluators or regulators.
